The sales tools a B2B team in Sweden needs can be broken down into seven jobs: find prospects, get contact data, research each person, send sequences, make calls, keep a CRM organised and book meetings. AI sales tools do not replace those jobs individually, but the manual work between them, especially research and writing per prospect.

This guide walks through the jobs one at a time, names real tools for each (including our competitors) and is clear about where lemonreach fits and where it does not. Prices were checked on 1 November 2026 on each vendor’s own pricing page where possible. Most are listed in US dollars and change frequently, so verify before you buy.

What jobs should your sales tools handle?

It is easy to start from the wrong end and buy one tool per category: a CRM, a database, a sequencer, a dialer. That usually ends with five logins and a salesperson moving data between them by hand.

Start with the jobs instead. Here are the seven, in the order a deal moves through them:

Job What it involves Example tools
Prospecting Find companies and people that match your target audience Apollo, LinkedIn Sales Navigator, lemonreach
Contact data Verified email addresses and phone numbers Apollo, Lusha, lemonreach
Research and personalisation Know something relevant about each person before you reach out Manual work, lemonreach
Sequences and outreach Emails and follow-ups in multiple steps lemlist, Smartlead, Instantly, lemonreach
Calls Dial, log outcomes, prepare for the conversation Aircall (lemonreach adds call points on top)
CRM Deals, customers and history HubSpot, Attio, Upsales, Lime CRM
Meeting booking Let prospects pick a time Calendly, HubSpot Meetings

A small team does not need a separate tool for every row. The point of the table is to see which jobs you already have covered and where the gaps are.

Which sales tools are available for prospecting and contact data?

Prospecting and contact data go hand in hand: first you find the right people, then their email addresses and phone numbers.

  • Apollo is a large contact database with its own sequences. There is a free plan, and the paid Basic plan costs around $49 per user per month on an annual contract, according to Landbase and Docket. Apollo did not publish figures on its own pricing page when we checked.
  • Lusha sells contact data by credit. The free plan gives 40 credits per month and Starter costs $37.45 per month on an annual contract, according to Lusha’s pricing page.
  • LinkedIn Sales Navigator helps you find and follow people but does not provide email addresses.
  • lemonreach lets you describe your target audience in plain English and builds the list for you with the AI Prospecting add-on (€79 per month, 1,200 credits). Email addresses and phone numbers go through a multi-layer validation flow before being used.

Coverage for Swedish companies varies across all databases, especially for smaller companies and direct numbers. Test against twenty or so of your own target accounts before you buy. We have written more about this in the guide on finding decision-makers and email addresses at Swedish companies.

Which sales tools send sequences?

A sequence tool sends emails and follow-ups from your own inboxes and stops when someone replies.

  • lemlist costs $55 per user per month for the Email plan and $87 for Multichannel on an annual contract, according to lemlist’s pricing page. We have a more detailed comparison in lemonreach vs lemlist.
  • Smartlead and Instantly start at around $39 to $47 per month and are built for high volume. They send what you write, but write nothing themselves. See cold email software pricing for a full breakdown.
  • lemonreach writes a unique email per prospect based on recent news about the person and their company, and can run multiple languages in the same campaign, for example Swedish, Norwegian and Finnish.

If you already have strong templates and want to send a high volume of emails cheaply, Smartlead or Instantly is a more sensible choice than lemonreach. If the real cost for you is the time it takes to write something worth reading, that is where an AI sales tool makes the difference.

Which tools do you need for calls?

Cold calling requires a phone system. Aircall is a popular choice and costs $30 per licence per month for Essentials on an annual contract, with a minimum of three licences, according to Aircall’s pricing page. That makes Aircall expensive for a solo salesperson.

lemonreach does not replace your phone system. It connects to your existing Aircall workspace and adds three call points per prospect, built from LinkedIn insights, plus outcome logging. You still make the call yourself. If you are on the phone all day, you also need a phone system built for that, regardless of what you use for email.

Which CRM should a small sales team choose?

A CRM is where deals, customers and history live. It is the one tool in this list you almost certainly need from day one.

  • HubSpot has a free CRM for up to two users. Sales Hub Starter runs from $7 to $20 per seat per month depending on your commitment, according to HubSpot’s pricing page.
  • Attio suits smaller companies that want a flexible CRM without a lengthy setup. The free plan covers up to three users, and Plus costs €31 per user per month on an annual contract (€39 with monthly billing), according to Attio’s pricing page.
  • Upsales and Lime CRM are Swedish alternatives used by many Nordic B2B companies. We could not find current public list prices, so contact them directly.

lemonreach is not a CRM. It syncs with HubSpot, Attio and Salesforce so that prospects, replies and meetings land where you already work.

Do you need a meeting booking tool?

Yes, once you start getting replies. Sending a link where the prospect picks a time saves a couple of emails per meeting. Calendly has a free plan with one meeting type, and Standard costs $10 per seat per month on an annual contract, according to Calendly’s pricing page. HubSpot has its own booking feature if you are already using their CRM.

What do AI sales tools replace, and what do they not replace?

Go back to the table of seven jobs. Each tool handles its part, but someone still has to move the list from the database to the sequence tool, read up on each person and write the emails. That is the work an AI sales tool, often called an AI SDR, takes over:

  • You describe your target audience in one sentence instead of clicking through twenty filters, and the tool builds the list.
  • The tool reads up on each person and company, for example company news and, in lemonreach’s case from the Growth plan, LinkedIn activity.
  • Every email is written for a specific person, and you review the draft before it is sent.
  • Replies are sorted for you: interested, not now, wrong person and so on.

The CRM, the call itself and the discovery meeting stay with you. The same goes for your judgement about which accounts are worth your time. No tool can make that call for you. We have written more about how to automate sales workflows with AI and which steps should come before AI.

What does a minimal sales stack look like for a team of one to five people?

Here are two setups for one salesperson sending around 750 personalised emails per month. Inboxes and domains cost the same in both cases and are not included.

Job Setup A: separate tools Setup B: with lemonreach
CRM HubSpot free: $0 HubSpot free: $0
Prospecting and contact data Apollo Basic: approx. $49 lemonreach AI Prospecting: €79
Research and emails You lemonreach Starter: €199
Sequences lemlist Email: $55 Included
Meeting booking Calendly Standard: $10 Calendly Standard: $10
Software per month approx. $114 €278 plus $10
Your time for research and writing over 60 hours reviewing drafts

Setup A is cheaper in software, and that should be said plainly. Apollo also has its own sequences, so anyone looking to keep costs down can get by with just Apollo and HubSpot. The difference is time. If each personalised email takes five minutes to research and write, 750 emails comes to over 60 hours per month. Five minutes is an assumption, so use your own number. Add Aircall with at least three licences if you are making calls.

Also compare with what a person costs: an SDR in Sweden costs approximately 628,000 SEK in the first year according to our SDR cost model for Sweden. An AI sales tool replaces the desk hours, not the entire role.

When is lemonreach not the right sales tool?

To be honest, there are several situations where you should choose something else:

  • You need a CRM. lemonreach is not a CRM, so start with HubSpot, Attio, Upsales or Lime.
  • You are sending high volumes with ready-made templates. Smartlead or Instantly will do it cheaper.
  • You are on the phone all day. In that case the phone system is your primary tool and email is a supplement.
  • You are selling to a small number of very large accounts. There it often pays to have a human do the research.

What should you consider about GDPR when choosing sales tools?

Prospect data is personal data. Three questions to ask every vendor:

  1. Where is data stored, and does it leave the EU?
  2. Is there a data processing agreement (DPA) to sign?
  3. Where does the contact data come from, and how often is it updated?

lemonreach is hosted in the EU, has a standalone data processing agreement and only transfers prospect data outside the EU to countries with an adequacy decision. More questions are covered in 12 questions to ask an AI SDR vendor.

Frequently asked questions

At minimum: a CRM, a source of contact data and a tool for sending follow-ups, then calls and meeting booking as volume demands it. With lemonreach, one tool covers prospecting, contact data, research and sequences, so you essentially just need to add a CRM and a booking tool.

A sales tool that carries out a task for you rather than just storing or sending something. lemonreach is one example: you describe your target audience in plain English and the tool builds the list, finds verified contact details, researches each person and writes a personalised draft for you to review before it is sent. The category is often called AI SDR.

lemonreach is built for European B2B teams. It is hosted in the EU, has a standalone data processing agreement, writes emails in Swedish and other languages in the same campaign and syncs with HubSpot, Attio and Salesforce. You review every email before it is sent from your own domain.

lemonreach costs €199, €349 or €549 per month with quarterly billing, or €159, €279 or €439 with annual billing. The AI Prospecting add-on costs €79 per month and gives 1,200 credits. Separate tools for data and sequences can cost less in software, but then you do the research and writing yourself, which comes to over 60 hours for 750 emails at five minutes per email.

Yes, if you use HubSpot, Attio or Salesforce. The sync is included in all plans, so prospects, replies and booked meetings land in the CRM you already work in. lemonreach does not replace the CRM, it feeds it.

Yes. lemonreach runs multiple languages in a single campaign on all plans, so each prospect receives the email in their own language without you having to build a separate campaign per country.

It depends on the job. HubSpot, Attio, Upsales and Lime CRM are common CRMs. Apollo and Lusha are common sources of contact data. lemlist, Smartlead and Instantly send sequences. Aircall is a common phone system and Calendly a common booking tool. lemonreach is an AI SDR that covers prospecting, contact data, research and sequences in one platform.
